Privacy Policy
Syntaai Technologies Private Limited (“SyntaAI”, “we”, “us”, or “our”)
1. Introduction
SyntaAI builds AI-powered SAP security and compliance software. This Privacy Policy explains what personal information we collect through our website at syntaai.com and its related pages (including our interactive demo at demo.syntaai.com), how we use it, who we share it with, and the choices and rights you have.
By using our website or submitting your information to us, you agree to the practices described in this Privacy Policy.
2. Scope — and what this policy does not cover
This Privacy Policy applies to:
- The syntaai.com website and its subdomains, including demo.syntaai.com
- Information you give us through forms, demo requests, event and webinar registrations, and email
- Our sales, marketing, and support interactions with you
It does not cover data inside your Syntasec deployment. Syntasec is installed and runs entirely within your own infrastructure (on-premise or your private cloud). Your SAP systems, user data, and security findings stay within your network — they are never transmitted to, stored by, or accessed by SyntaAI. Processing of data within your Syntasec environment is governed by your own internal policies and your agreement with us, not by this website Privacy Policy.
3. Information we collect
Information you provide to us:
- Identity and contact details — name, business email, phone number, job title, organization, and country, when you fill in a contact form, request a demo, register for a webinar or event, or subscribe to updates.
- Communications — the content of messages, emails, and inquiries you send us.
- Demo interactions — questions and inputs you enter into our interactive demo at demo.syntaai.com. The demo runs on sample, non-production data; please do not enter real SAP credentials, live system data, or confidential information into it.
Information we collect automatically:
- Usage and device data — IP address, browser type, operating system, referring pages, pages viewed, and dates/times of access.
- Cookies and similar technologies — used for site functionality and analytics (see Section 7).
We do not intentionally collect special categories of personal data through our website.
4. How we use your information
We use personal information to:
- Respond to your inquiries and provide the demos, information, or materials you request
- Register you for, and run, webinars and events you sign up for
- Send you product updates, marketing, and event communications where you have asked to receive them or where we are otherwise permitted to do so (you can opt out at any time)
- Operate, maintain, secure, and improve our website and demo
- Understand how our website is used through analytics
- Comply with legal obligations and protect our legal rights
5. Legal bases for processing (EEA / UK visitors)
Where the EU or UK GDPR applies, we rely on the following legal bases:
- Consent — e.g. for marketing emails and certain cookies (you may withdraw consent at any time)
- Legitimate interests — e.g. responding to your inquiries, securing and improving our site, and business-to-business marketing to business contacts, balanced against your rights
- Performance of a contract — where you have an agreement with us
- Legal obligation — where we must process data to comply with the law
6. How we share your information
We do not sell your personal information. We share it only with:
- Service providers (processors) who help us run our business — for example, customer-relationship management, email and marketing delivery, form and survey hosting, website hosting and cloud infrastructure, and analytics providers. These providers may use your data only to provide services to us.
- AI service providers — inputs you submit to our interactive demo may be processed by third-party AI providers to generate responses. The demo uses sample data only.
- Legal and safety — where required by law, regulation, or legal process, or to protect the rights, property, or safety of SyntaAI, our users, or others.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Privacy Policy.
7. Cookies and analytics
We use cookies and similar technologies to operate the website and to understand and improve how it is used. You can control cookies through your browser settings, and, where required, we will request your consent for non-essential cookies. Disabling some cookies may affect site functionality.
8. International data transfers
We operate from India and use service providers in various countries. Where we transfer personal data across borders, we take steps to ensure it is protected in line with applicable law, including using appropriate safeguards such as standard contractual clauses where required.
9. Data retention
We keep personal information only for as long as necessary for the purposes set out in this policy — for example, to respond to your inquiry, manage our relationship with you, send communications you have requested, and meet legal, accounting, or reporting requirements — after which it is deleted or anonymized.
10. Your rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Request deletion of your data
- Object to, or restrict, certain processing
- Withdraw consent (where processing is based on consent)
- Receive your data in a portable format
- Lodge a complaint with your local data protection authority
If you are in India, you have rights under the Digital Personal Data Protection Act, 2023, including access, correction, and erasure, and the right to grievance redressal.
To exercise any of these rights, email us at contact@syntaai.com. We will respond within the timeframes required by applicable law and may need to verify your identity before acting on your request.
11. Data security
We use reasonable technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
12. Children’s privacy
Our website and services are intended for businesses and professionals and are not directed to children. We do not knowingly collect personal information from anyone under the age of 18. If you believe a child has provided us with personal data, please contact us and we will delete it.
13. Third-party links
Our website may link to third-party sites and services that we do not control. This Privacy Policy does not apply to those sites, and we encourage you to review their privacy policies.
14. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Last updated” date above. Material changes will be made prominent where appropriate.
